Job Responsibilities
1. Property Maintenance & Facilities Management
- Oversee the day-to-day maintenance and upkeep of all assigned properties to ensure facilities remain safe, functional, and operationally ready.
- Manage preventive and corrective maintenance activities in accordance with established service level agreements (SLAs).
- Coordinate and monitor maintenance vendors, contractors, and service providers to ensure timely completion of works.
- Conduct regular site inspections and facility audits to identify maintenance issues and improvement opportunities.
- Monitor maintenance costs and ensure expenditure remains within approved budgets.
- Ensure all maintenance records, reports, and documentation are properly maintained.
2. Renovation, Fit-Out & Project Management
- Manage renovation, refurbishment, reinstatement, and upgrading projects across offices, Experience Centers (EC), Inspection Centers (IC), yards, and operational facilities.
- Coordinate project implementation from planning, quotation evaluation, contractor appointment, execution, and handover.
- Monitor project timelines, budgets, and quality standards to ensure successful project delivery.
- Liaise with internal stakeholders to understand operational requirements and incorporate them into project execution.
- Conduct site inspections and progress reviews to ensure works are completed according to specifications.
- Ensure sites are operationally ready prior to business activation.
3. Physical Security Management
- Manage and coordinate physical security initiatives across all company facilities.
- Oversee the operation and maintenance of CCTV systems, access control systems, alarm systems, and other security infrastructure.
- Coordinate CCTV footage requests and ensure compliance with internal policies and retention requirements.
- Manage security guard services and monitor vendor performance.
- Investigate security-related incidents and recommend corrective actions to mitigate future risks.
- Conduct periodic security assessments and site inspections to identify security vulnerabilities.
4. Compliance & Regulatory Management
- Ensure facilities comply with applicable regulatory, safety, and operational requirements.
- Coordinate the renewal and maintenance of facility-related certifications, permits, and licenses, including fire safety requirements where applicable.
- Support authority inspections, audits, and site assessments.
- Track and follow up on corrective actions arising from audits, inspections, or compliance findings.
- Maintain proper records and documentation for compliance purposes.
5. Vendor & Contract Management
- Manage service providers and contractors to ensure contractual obligations and performance standards are met.
- Obtain and evaluate quotations for maintenance, renovation, and facility-related services.
- Support procurement and tender exercises for property-related services and projects.
- Monitor vendor performance and recommend improvements where necessary.
- Ensure all vendors comply with company policies, safety requirements, and site regulations.
6. Stakeholder Coordination & Operational Support
- Act as the primary liaison between the Property Department and internal stakeholders on facilities, maintenance, renovation, and security-related matters.
- Work closely with Operations, Procurement, Finance, IT, Marketing, and other departments to support business requirements.
- Provide timely updates on project progress, maintenance issues, and operational risks.
- Assist in resolving facility-related issues to minimise operational disruptions.
- Support new site openings, relocations, and business expansion initiatives as required.
7. Reporting & Administration
- Prepare and maintain project trackers, maintenance reports, vendor performance reports, and management updates.
- Monitor OPEX and CAPEX expenditure for assigned projects and facilities.
- Ensure all property-related records, contracts, and documentation are properly maintained and accessible.
- Identify opportunities to improve operational efficiency, service quality, and cost management across the property portfolio.
Requirements
Bachelor's Degree in Property Management, Facilities Management, Building Surveying, Construction Management, Engineering, Architecture, Quantity Surveying, or related disciplines.
Minimum 5 years relevant experience in property, facilities, maintenance, project, or construction management.
Experience managing renovation, fit-out, maintenance, and facilities projects across multiple sites.
Good understanding of building maintenance, facilities operations, physical security, and regulatory compliance requirements.
Strong project coordination, stakeholder management, and problem-solving skills.
Able to work independently in a fast-paced environment and manage multiple priorities simultaneously.
Proficient in Microsoft Office applications. Familiarity with AutoCAD will be an added advantage.
Possess a valid driving licence and own transportation.
Willing to travel nationwide and work outside normal office hours when required to support project implementation, maintenance activities, site activations, or operational emergencies.
