CLINIC RECEPTIONIST, CONSULTATION CLINIC

SUMMARY OF DUTIES
- Provide professional front-line reception and administrative support for outpatient consultant clinics.
- Coordinate patient registration, appointments, billing preparation, and clinic documentation.
- Support consultants, nursing staff, and patients by ensuring clinic readiness and efficient patient flow.
- Maintain confidentiality and compliance with hospital policies and procedures.
- Deliver excellent customer service while ensuring smooth daily clinic operations.
MAIN RESPONSIBILITIES :
- Welcome patients and visitors professionally, verify appointments and
register patients accurately in the Hospital Information System (HITS).
- Prepare, retrieve and maintain patient medical records before and after clinic sessions.
- Coordinate consultant clinic appointments, cancellations and rescheduling.
- Ensure consultation rooms are prepared before clinic sessions, including forms, stationery and administrative supplies..
- Coordinate patient flow by communicating effectively with consultants, nurses and allied health staff.
- Prepare consultation charges, verify billing information and coordinate with the Finance Department where required.
- Verify insurance, guarantee letters and corporate documentation before
consultation where applicable.
- Answer telephone calls, respond to enquiries and assist patients with
appointments and clinic information.
- Maintain confidentiality of patient information in accordance with hospital
policies and the Personal Data Protection Act (PDPA).
- Compile daily and monthly clinic statistics, reports and administrative
records.
- Report operational issues, patient concerns or consultant requirements
promptly to the Head of Outpatient Services
- Assist in coordinating new consultant clinic setup and administrative
preparations required.
- Participate in departmental meetings, training programmes, quality improvement initiatives and hospital activities
- Comply with hospital policies, infection prevention measures, occupational safety requirements and accreditation standards.
- Ensure adhere to Standard People Practice (SPP)
- Perform any other duties assigned by the Head of Outpatient Services or
Management.
JOB REQUIREMENTS :
- SPM/STPM, Diploma or equivalent
- Computer literacy with proficiency in Microsoft Office applications.
- Experience in a private healthcare setting.
- Good command of spoken and written English and Bahasa Malaysia. Multilingual
- Excellent customer service and communication skills.
