RESPONSIBILITIES
Summary:
Responsible for administering and managing the processes and formalities associated with the collection of demurrage, freight, hire and other claims for all fleet vessels, including both charter-in and charter-out tonnage. The role supports the Manager in ensuring accurate record-keeping, effective monitoring of claim progress, and timely reporting of collection proceeds.
Responsibilities
- Calculate and issue invoices for freight, demurrage, time charter hire and other claims arising from vessel employment.
- Ensure that all claims and revenue-related items are raised in accordance with the relevant charter party terms and within applicable time-bar requirements.
- Calculate, raise and tender demurrage invoices in accordance with contractual terms and prescribed timelines.
- Follow up with Charterers in a timely and professional manner to secure the settlement of demurrage claims.
- Issue freight invoices in accordance with contractual terms and prescribed timelines and monitor the corresponding collections.
- Review, verify and raise miscellaneous claims in accordance with the applicable charter party provisions.
- Raise external time charter hire-in / hire-out items and Charterers’ items, where applicable.
- Monitor and follow up with Charterers on the settlement of all outstanding earnings.
- Maintain and update claim and collection records in the company’s approved systems, ensuring accuracy, completeness and proper documentation.
- Prepare and provide periodic reports on freight, hire, demurrage and miscellaneous claims status, as required.
- Support departmental initiatives to enhance interdepartmental processes and promote more streamlined and efficient procedures.
- Process brokerage commission and commercial fee payments in IMOS and Oracle Cloud.
- Participate actively in the development, implementation and continuous improvement of the quality management system and departmental procedures.
- Liaise and collaborate with Chartering, Operations, Finance, IT, Insurance and other relevant departments to support the effective handling and resolution of claims.
QUALIFICATIONS
- Bachelor's degree in any discipline, preferably in Shipping, Maritime Studies, Business, or a related field.
- Minimum of three years’ working experience in a claims-related (freight, hire, demurrage) environment.
- On-the-job training may be provided for candidates with limited direct claims experience.
- Strong numerical ability and written communication skills.
- Sound commercial awareness and business acumen.
- Proficient in Microsoft Excel and PowerPoint.
- Exposure to shipping IT systems such as Veson, IMOS and Oracle Cloud would be advantageous.
