We are looking for Procurement / Assistant Procurement Manager to join our team!

  • This is a Clustered position for Shangri-La Rasa Sayang, Penang , Shangri-La Golden Sands, Penang & Hotel Jen Penang.

As a Procurement / Assistant Procurement Manager, we rely on you to

  • Manage and coordinate all procurement and purchasing requirements across the three properties.
  • Ensure the best balance of quality, quantity, service, availability, and cost efficiency.
  • Obtain competitive quotations from a minimum of three suppliers, where applicable.
  • Prepare supplier comparisons, quotation analyses, and procurement recommendations.
  • Prepare tender documents and coordinate the tender process.
  • Evaluate supplier bids, negotiate pricing and commercial terms, and recommend final selections to management.
  • Source products, services, contractors, and specialist suppliers for operational and special projects.
  • Conduct regular market surveys and monitor supplier pricing and market trends.
  • Identify and implement cost-saving and value-enhancement opportunities without compromising quality or guest experience.
  • Identify alternative products and sourcing options to improve value and operational efficiency.
  • Develop and maintain strong, professional relationships with existing and prospective suppliers.
  • Work closely with the Cost Controller and relevant departments to monitor inventory requirements and maintain appropriate par stock levels.
  • Coordinate consignment stock arrangements and ensure effective purchasing controls.
  • Maintain accurate supplier records and documentation.
  • Support tax, customs, regulatory, and other procurement-related requirements.
  • Ensure purchasing activities comply with company policies, procurement procedures, financial controls, and ethical standards.
  • Supervise and provide guidance to Purchasing Officers and Purchasing Clerks.
  • Conduct staff coaching, counselling, performance reviews, briefings, and development activities.
  • Communicate management directives and priorities effectively to the Procurement team.
  • Represent the Procurement team in relevant finance and operational meetings.
  • Promote teamwork, accountability, service excellence, and continuous improvement.
  • Support and champion environmental sustainability initiatives.
  • Maintain the highest standards of professional conduct, integrity, ethics, grooming, hygiene, and workplace discipline.

We are looking for someone who:

  • Diploma, Degree, or relevant professional qualification in:
  • Procurement
  • Supply Chain Management
  • Business Administration
  • Hospitality Management
  • Or a related discipline.
  • Preferably minimum 2 years of procurement or sourcing experience.
  • Experience within a large organization or hospitality environment will be an advantage.
  • Strong knowledge of Procurement and purchasing processes, Strategic sourcing, Supplier evaluation, Tender management, Cost analysis and Price negotiation.
  • Strong commercial awareness with the ability to identify cost-saving and value-creation opportunities.
  • Excellent negotiation and supplier relationship-management skills.
  • Strong organizational and analytical skills with the ability to manage multiple priorities.
  • Strong leadership and people-management capabilities.
  • Ability to coach, motivate, and develop team members.
  • Excellent written and spoken English.
  • Knowledge of local dialects will be an advantage.
  • Working knowledge of procurement or supply chain systems, such as SCM or equivalent platforms, will be an advantage.
  • Proficient in Microsoft Office
  • Strong communication, interpersonal, and stakeholder-management skills.
  • High level of integrity, honesty, accountability, and professionalism.
  • Self-motivated, proactive, and results oriented.
  • Strong problem-solving and decision-making abilities.
  • Customer-oriented with a strong sense of initiative.
