Position Responsibilities

  1. Reception & Front Desk Management

Manage daily reception operations, including welcoming visitors, handling enquiries, and ensuring a professional front-of

house experience.

  1. Visitor & Guest Management

Coordinate visitor registration, access arrangements, meeting room coordination, and assist external guests, vendors, and

business partners during their visit.

  1. Parking Management

Manage visitor and guest parking arrangements, including registration, parking allocation, and coordination with relevant

parties to ensure a smooth parking experience.

  1. Parcel Management

Manage incoming and outgoing parcels, including receiving, recording, sorting, and distributing parcels to employees in a

timely manner.

  1. Reception Area Management

Ensure the reception area is clean, organised, and presentable while maintaining a consistent service standard.

Secondary Job Responsibilities:

  1. Purchasing & PO Administration

Support GA purchasing activities, including PO raising, quotation collection, approval follow-up, and purchase tracking.

  1. Name Card Management

Manage employee name card requests, including information verification, ordering, and distribution.

  1. Office & Pantry Supplies

Assist with monitoring stock levels and replenishment of stationery, pantry items, and other workplace essentials.

  1. Courier Management

Coordinate outgoing courier arrangements, including booking, tracking, and liaising with courier service providers.

  1. Vendor Coordination

Liaise with vendors on deliveries, quotations, purchases, and other GA-related requirements.

  1. GA Administrative Support

Assist with documentation, filing, invoice processing, records, and other administrative tasks.

  1. Employee & Workplace Support

Attend to day-to-day employee requests and provide assistance for GA-related workplace needs, meetings, and events.

  1. Ad Hoc GA Activities

Support the GA team in carrying out workplace initiatives, events, and other ad hoc operational requirements.

Qualification & Experience

  • 1–2 years of experience in reception, front desk, administration, customer service, or a similar role.
  • Good communication and interpersonal skills, with a professional and approachable manner.
  • Strong organisational and time management skills, with the ability to manage multiple requests and priorities.
  • Detail-oriented and able to maintain accurate records and documentation.
  • Comfortable handling visitors, employees, vendors, and external parties.
  • Basic knowledge of Microsoft Office / Google Workspace and administrative systems.
  • Able to handle POs, purchasing requests, invoices, and basic administrative processes.
  • Good problem-solving skills and able to take initiative within the scope of the role.
  • Able to work independently while collaborating effectively with the General Affairs team and other departments.
  • Customer-service oriented, with a strong focus on creating a positive workplace and visitor experience.
  • Able to maintain confidentiality and professionalism when handling company and employee information.
