SENIOR EXECUTIVE, HQ OPERATIONS

Job Purpose
As part of the operations decentralization initiative, the Regional Operations Executive is a ground-based role responsible for executing day-to-day operational support within an assigned region (Klang Valley, South, or NorthEast). This role takes ownership of branch-facing, execution-level tasks that were previously managed centrally, ensuring faster turnaround, closer branch support, and consistent ground conditions — while Centralized HQ Operations continues to own SOP-setting, system administration, nationwide reporting, and strategic direction.
Key Responsibilities
- Performance Monitoring — Monitor TAT, compliance, and operational performance reporting for branches within the assigned region.
- Branch Query Support — Provide ground support and resolve branch operational queries in a timely manner.
- Ground Vendor Compliance Monitoring — Monitor vendor performance on-site and ensure compliance with required standards and SOPs.
- Ground Headcount & Utilisation Management — Manage regional manpower allocation and monitor headcount utilisation to ensure operational efficiency.
- Training Management — Deliver regular updates and training to branch staff on new and existing SOPs, processes, and campaigns.
- Consistency Audits — Conduct regular ground audits to validate actual branch conditions and ensure consistency in operational practices.
- Branch Stock Management — Oversee branch inventory and stock management, including brown files, tools, FileForce, and facility-related items.
- New Joiner Onboarding Preparation — Ensure all arrangements, resources, and materials are ready ahead of new joiners' start dates.
- Payment Management — Manage petty cash reconciliation and Coupa-related payment processes to ensure timely, accurate payments.
Requirements
Education & Experience
- Diploma or Bachelor's Degree in Business Administration, Operations Management, or a related field.
- Minimum 2–3 years of experience in operations, branch support, or field/ground operations; experience in a regional or multi-branch environment is an advantage.
- Prior exposure to vendor management, audits, or compliance monitoring is a plus.
Skills & Competencies
- Strong ground presence with the ability to work independently across branches within the region.
- Good communication and interpersonal skills to liaise with branch staff, vendors, and HQ.
- Detail-oriented with solid audit, monitoring, and reporting discipline.
- Basic proficiency in Microsoft Excel/Word and comfort using operational systems (e.g., FileForce, Coupa, or similar platforms).
- Ability to manage petty cash and payment reconciliation processes accurately.
- Willingness to travel regularly within the assigned region to visit branches.
- Own transport required (essential for regular branch visits).
Other Requirements
- Based in / willing to be based in the assigned region: Klang Valley, South, or NorthEast.
- Flexible and adaptable, comfortable working on ground-level, execution-focused tasks.
- Able to work closely with Centralized HQ Operations to ensure alignment with company-wide SOPs and direction.
- Experience in Automotive would be added value
