Job Summary
The Senior Executive, Operations supports the day-to-day management and maintenance of building operations, ensuring efficient and compliant facility management. This role involves coordinating with internal teams and external vendors, overseeing tenancy design compliance, managing contracts and vendor relations, and maintaining operational policies and systems.
Key Responsibilities
- Assist in Retail Mall and Office Building in overseeing the day-to-day operations, maintenance and overall management of the property, such as building maintenance, landscape, security, pest control, cleaning, waste management and carpark management.
- Ensuring that the mall is maintained in a safe, efficient and presentable condition.
- Coordinate and monitor building maintenance activities, including preventive and corrective maintenance, and ensure the efficient operation of building systems and equipment.
- Manage and monitor appointed service providers and contractors, including cleaning, security, pest control, maintenance and other operational services, to ensure compliance with contractual requirements and required service standards.
- Supervise and coordinate the work of the technical team, including technicians, and follow up on maintenance issues, defects and operational matters until satisfactory closure.
- Conduct regular property inspections and monitor the overall cleanliness, safety, security, maintenance and presentation standards of the mall, common areas and back-of-house areas.
- Manage tenant fitting-out and reinstatement matters, including unit takeover and handover inspections, review and coordination of design submissions, Permit-to-Work requirements, and compliance with regulatory and Landlord's guidelines and schedules.
- Liaison and coordinates with internal departments, tenants, contractors, consultants, vendors and relevant authorities on facility, tenancy and general operational matters.
- Assist in managing incidents, emergencies and operational disruptions, including investigation, reporting, coordination of rectification works and implementation of follow-up actions.
- Ensure compliance with applicable statutory, regulatory, workplace safety and fire safety requirements, including monitoring and timely renewal of relevant licences and certifications.
- Assist with procurement and contract administration, including preparation of RFQs, quotation/tender evaluations, Purchase Orders (POs), Goods Received Notes (GRNs), Work Orders (WOs), vendor setup, budget monitoring and renewal of expiring contracts.
- Maintain and update relevant Operations records, property management systems, contracts, licences, maintenance records and other operational documentation.
- Prepare monthly management reports, management updates, building circulars, memoranda and other operational correspondence/documentation as required.
- Support events, promotions and other mall activities from an operational, technical and safety perspective, and coordinate the necessary operational arrangements.
- Maintain and implement relevant policies, procedures and guidelines relating to building operations, maintenance and administration, and perform any other duties as assigned by the Manager.
Key Requirements
- Diploma in Facilities Management, Building Services, Engineering, Property Management or a related discipline.
- Preferably 2-3 years of relevant experience in property, facilities or mall operations, with supervisory experience.
- Experience in a shopping mall, commercial property or similar environment would be advantageous.
- Good interpersonal, communication and problem-solving skills.
- Proficient in Microsoft Office applications.
- Able to work independently and as part of a team in a fast-paced operational environment.
- Based on-site at the property.
- Required to conduct regular inspections within the mall, office/common areas, back-of-house and other operational areas.
- May be required to attend to urgent operational matters and emergencies outside normal working hours.
- May be required to work on weekends and/or public holidays on a rotational or operational-needs basis.
