SENIOR EXECUTIVE, PROPERTY PLANNING & MANAGEMENT

Key Responsibilities

  1. Project Planning & Execution
  • Plan, coordinate, and execute property-related projects including new branch setup, relocation, renovation, refurbishment, upgrading, and expansion works.
  • Manage end-to-end project activities from planning, scope definition, site assessment, budgeting, execution, handover, and post-completion review.
  • Coordinate with internal stakeholders and business units to ensure project requirements, timelines, and deliverables are aligned with operational needs.
  • Monitor project schedules and progress to ensure timely completion while maintaining quality and safety standards.
  • Conduct site visits, inspections, and coordination meetings to track project readiness and resolve site-related issues.
  1. Maintenance & Facilities Operations
  • Oversee day-to-day maintenance operations across assigned sites to ensure facilities remain functional, safe, and well-maintained.
  • Coordinate corrective and preventive maintenance activities involving building, M&E, HVAC, and facility-related systems.
  • Monitor maintenance tickets, issue escalation, and service response timelines to minimize operational disruption.
  • Support troubleshooting and resolution of facility-related issues in collaboration with vendors and internal teams.
  1. Vendor & Contractor Management
  • Manage and coordinate contractors, suppliers, and service vendors for maintenance, project, and facility-related works.
  • Evaluate vendor performance based on service quality, cost efficiency, responsiveness, and compliance with agreed deliverables.
  • Ensure contractors comply with site requirements, safety procedures, and company standards during project execution.
  1. Cost Control & Documentation
  • Review quotations, technical proposals, invoices, variation orders, and project costings for cost control and budget optimization.
  • Monitor project and maintenance spending to ensure costs remain within approved budgets.
  • Maintain proper documentation including project schedules, reports, approvals, drawings, work orders, and completion records.
  • Prepare periodic reports on project progress, maintenance performance, budget utilization, and operational issues.
  1. Stakeholder Coordination
  • Act as liaison between Property Planning & Management, business units, branch teams, and external service providers.
  • Provide timely updates on project milestones, maintenance issues, and resolution plans.
  • Support cross-functional collaboration to ensure smooth project execution and operational continuity.

Your Know-how

  • Minimum 3–5 years of working experience in project management, facilities management, maintenance operations, renovation, enhancement, or expansion projects.
  • Strong experience in planning, coordinating, and executing multi-site projects including branch setup, refurbishment, upgrading, and operational readiness activities.
  • Experience in managing project timelines, site coordination, budgeting, cost monitoring, and contractor performance.
  • Good with project planning processes including scope coordination, work scheduling, progress tracking, and project documentation management.
  • Strong experience in vendor and contractor management for maintenance, M&E, renovation, and facility-related works.
  • Experience in handling maintenance operations, preventive maintenance planning, and maintenance ticket coordination is an added advantage.
  • Able to manage multiple projects and operational tasks simultaneously within tight timelines and fast-paced environments.
  • Good understanding of facility operations, technical coordination, and site execution processes.
  • Experience in reviewing quotations, technical proposals, invoices, and project costing is preferred.
  • Knowledge in HVAC, M&E systems, building maintenance, or retail/showroom operational setup will be an added advantage.
  • Willing to travel and conduct site visits across branches when required.
