Job Title: Specialist, People Operations & Mobility

Department: People Services

Reports To: Asst. Manager, People Operations & Technology

Summary:

The Specialist, People Operations & Mobility (Employment Passes) is responsible for the efficient and compliant processing of employment passes and related immigration documentation for expatriates. This role requires a detailed understanding of immigration laws and regulations, strong organizational skills, and the ability to manage multiple priorities simultaneously. The successful candidate will act as a point of contact for employees and hiring managers throughout the entire employment pass process.

This role also responsible for supporting the day-to-day HR operational activities to ensure smooth and efficient delivery of people-related services. This role focuses on executing core HR processes such as employee lifecycle onboarding, confirmation, movement, separation, data management, and documentation with accuracy and timeliness. The role ensures compliance with HR policies and SOPs while maintaining high data integrity across PCMS. It also serves as a point of contact for employee queries, supporting issue resolution and contributing to a positive employee experience through consistent and reliable HR service delivery.

Mobility Responsibilities:

  • Manage the full employment pass

lifecycle, from initial application to renewal and cancellation, ensuring compliance with all relevant laws and regulations.

  • Provide expert advice and

guidance to hiring managers and employees on visa requirements, application procedures, and related immigration matters.

  • Prepare and submit all

necessary documentation for employment pass applications, renewals, and extensions, ensuring accuracy and completeness.

  • Maintain meticulous records of

all employment pass applications, approvals, and related correspondence.

  • Liaise with government

agencies, and other external stakeholders to expedite the processing of employment pass applications.

  • Track application statuses and

proactively identify and address potential delays or issues.

  • Stay abreast of changes in

immigration laws and regulations and update internal processes accordingly.

  • Develop and maintain up-to-date

internal procedures and documentation related to employment pass processing.

  • Provide regular reporting on

key metrics related to employment pass processing, including application processing times and success rates.

  • Proactively identify and

implement process improvements to streamline the employment pass process and enhance efficiency.

  • Adhere to company policies and

procedures, ensuring data privacy and security.

People Operations

Responsibilities:

  • Manage HR-related tickets and

inquiries, providing timely resolutions and support.

  • Process employee requests

related to HR policies, benefits, and general HR-related matters.

  • Maintain accurate and

up-to-date employee records in the PCMS.

  • Oversee the onboarding and

offboarding processes within the PCMS for new joiners and resigning employees.

  • Coordinate with various

departments to ensure a smooth onboarding experience for new hires, including setting up necessary accounts, equipment, and access.

  • Manage exit procedures for

resigning employees, including conducting exit interviews and processing final settlements.

  • Oversee the administration and

maintenance of LHDN stamping, SOCSO claimable items, and employee profile records to ensure accuracy, compliance, and timely processing.

  • Ensure all HR documentation

such as Employee Profile, LHDN Stamping, SOCSO claimable item is complete, accurate, and compliant with legal and company standards.

  • Assist in maintaining HR

compliance with company policies and relevant regulations.

  • Act as a point of contact for

employees regarding HR-related questions or concerns.

  • Provide support and guidance to

employees on HR policies, procedures, and benefits.

Qualifications:

  • Bachelor's degree in Human

Resources, Business Administration, or a related field.
